1. Introduction
1.1. These General Terms and Conditions (the "Terms"), together with our Privacy Policy and Disclaimer, govern your use of our website and services. References to "Client," "You," and "Your" pertain to the individual accessing this site and agreeing to these Terms. References to "The Company," "We," "Our," and "Us" refer to CollabConf. "Party," "Parties," or "Us" includes both the Client and CollabConf. These Terms constitute an agreement for the provision of services in accordance with Indian law. Variations in terminology (such as singular/plural forms and capitalization) are interchangeable.
2. Changes to the Event Package
2.1. CollabConf will endeavor to maintain the event package and agenda as advertised. Nevertheless, modifications may occur as necessary. Should any changes be made, we will notify you accordingly. If we fail to notify you of such modifications, you are entitled to a full refund. CollabConf reserves the right to alter the venue, online platform, or event dates as required.
3. Client Cancellation Policy
3.1. Cancellation within 48 hours of booking: A full credit note is available if the booking was made at least 30 days prior to the event.
3.2. Cancellation after 48 hours but more than 30 days before the event: A 50% credit note will be issued.
3.3. Cancellation within 30 days of the event: No credit note will be issued.
3.4. No official cancellation and non-attendance: No credit note will be provided.
3.5. Outstanding Payments: The full amount remains due if not paid.
4. Limitation of Liability
4.1. CollabConf shall not be liable for any special, consequential, or incidental damages arising from our services, including but not limited to lost profits or third-party claims, even if we were advised of the possibility of such damages.
5. Privacy and Data Protection
5.1. CollabConf may use event recordings (including but not limited to photographs, audio, and video) for promotional purposes indefinitely. Attendees waive any privacy rights related to their participation and agree not to pursue legal action against us for such use. Personal data collected will be used exclusively for event-related purposes and will not be sold or disclosed outside of this scope.
6. Force Majeure
6.1. In the event of postponement or cancellation due to extraordinary circumstances such as war or terrorism, CollabConf shall not be liable for any costs or losses incurred. The event will be rescheduled within six months, and your participation will be transferred to the new date. If you are unable to attend the rescheduled event, you will receive a full credit note for future events. If rescheduled beyond six months, a full refund will be issued within 30 days of the request.
7. Event Postponement
7.1. If we postpone the event for reasons other than Force Majeure, a new date will be set within six months, and your participation will be transferred to that date. If you are unable to attend, you will receive a credit note for future events. If the event is rescheduled beyond six months, you may request a full refund, which will be processed within 30 days.
8. Event Cancellation
8.1. Should CollabConf cancel the event, you will receive a full refund within 30 business days. No additional compensation will be provided.
9. Miscellaneous
9.1. This document constitutes the entire agreement between CollabConf and the Client. Any amendments to these Terms must be approved in writing by a director of CollabConf. All communications related to this agreement should be sent via email and are considered received at the time of delivery. This agreement is governed by the laws of Bengaluru, India, with exclusive jurisdiction vested in the courts of Bengaluru.
10. Terms for Sponsors, Partners, and Exhibitors
10.1. Cancellation more than 7 days after signing and more than 2 months before the event: 50% of the total amount is due.
10.2. Cancellation between 30 to 60 days before the event: 75% of the contract amount is due.
10.3. Cancellation less than one month before the event: 100% of the amount is due.
10.4. No refunds or credits will be provided for cancellations received less than one month prior to the event. In the event of non-official cancellation and non-attendance, the full invoice amount remains payable.
11. License
11.1. CollabConf and its licensors retain all intellectual property rights in relation to our site. You may use materials from our site for personal purposes only and must not:
- Republish, sell, rent, or sub-license our content,
- Reproduce or redistribute our content.
11.2. Content that infringes our intellectual property rights or damages our reputation must be removed immediately.
12. Linking Policy
12.1. Certain organizations, including government agencies and news outlets, may link to our website without prior approval, provided the link is not misleading and does not imply false endorsements. Other organizations may request permission to link to our site in alignment with our guidelines. Approved links must use our corporate name or URL and cannot utilize our logo without authorization.
13. Content Liability
13.1. CollabConf is not responsible for any content on your site. You agree to defend and indemnify us against any claims related to your site’s content and ensure that links do not infringe on third-party rights or contain harmful material.
14. Rights to Remove Links
14.1. We reserve the right to request the removal of any links to our site at any time. You must comply with such requests promptly.
15. Disclaimer
15.1. To the fullest extent permitted by law, we disclaim all warranties and conditions related to our website and its use. This includes disclaiming liability for:
- Death or personal injury,
- Fraud or misrepresentation,
- Any liabilities not allowed under applicable law.
15.2. We shall not be liable for any loss or damage if our website and services are provided free of charge.
16. Email and Other Communications
16.1. CollabConf is not responsible for the legality of information or messages sent to us. Users must ensure their content complies with applicable laws. We are not obligated to identify or act upon unlawful content.
17. Limitation of Liability
17.1. CollabConf shall not be liable for any special, consequential, or incidental damages arising from this agreement or our services, including but not limited to lost profits or third-party payments.
18. Anti-harassment Policy
CollabConf is dedicated to ensuring that all events are conducted in an environment free from unlawful harassment or discrimination based on gender, race, sexual orientation, religion, creed, disability, physical appearance, or age.
CollabConf maintains a zero-tolerance policy towards harassment of any kind and is committed to fostering a respectful and inclusive atmosphere. All participants are required to conduct themselves in a professional and appropriate manner. Violations of these standards will result in warnings or expulsion from the event at the discretion of the conference organizers, without entitlement to a refund.
19. Jurisdiction
19.1. CollabConf operates globally, and these Terms are subject to local jurisdiction as specified in relevant contracts and agreements.
